The Why

The Gillieston Heights Medical Centre is a significant build for the community it will serve, and it deserves a professional record that reflects that. This proposal outlines how KSC can take on the documentation for the remaining months of the project and deliver a complete visual archive suitable for both internal progress reporting and external marketing.

KSC is Newcastle-based, which means fast response across the Hunter and the ability to attend site in person when needed. As well as the fixed-point time-lapse camera, we can deploy drone and ground-based production during site visits, turning each attendance into a content opportunity rather than just a maintenance call.

What we are proposing is a drone-led documentation approach: regular on-site visits using GPS-programmed flights to capture the build from multiple angles, with high-resolution stills uploaded to the client portal within hours of each attendance. A fixed-point time-lapse camera is also available as a complementary option for continuous structural coverage. Together, these give Evoke Projects a versatile and high-quality content archive for the remainder of the build.

Our Approach

This engagement is built around two complementary layers of coverage:

  • Drone-led on-site visits: Regular GPS-programmed flights capturing the build from multiple angles, with high-resolution stills uploaded to the client portal within hours of each attendance.
  • Fixed-point time-lapse: A 4K camera running autonomously day by day, providing a continuous structural record of the build. 4G-connected and remotely monitored, with local card retrieval available if connectivity is disrupted.

Project Options

On-Site Drone Visits

Scheduled site visits using GPS-programmed waypoints to ensure 360 degree views and consistent flight paths across every attendance. Each visit captures the site from multiple angles, giving a far more complete picture of progress than any single fixed point can provide.

Each visit includes:

Orbital drone passes around the structure, documenting scale, form, and construction progress from the air.

Multiple angles and elevations to capture different aspects of the build as it develops.

High-resolution stills from each angle, uploaded to the client portal within a few hours of each visit.

Raw drone video footage, available on request at no additional charge.

Visit frequency is completely flexible: weekly, fortnightly, monthly, or ad hoc depending on your marketing and reporting schedule. Each visit is billed at the flat rate regardless of frequency.

All footage captured across the engagement feeds into the finished project film delivered at completion, edited together as a fluid record of the build from start to finish (see the Robson Civil example in the portfolio section below).

Mid-project edited cuts for specific milestones or social content are available at an additional post-production rate, quoted per deliverable.

Client Portal

Every KSC time-lapse engagement includes access to a branded client portal. Your team and stakeholders can browse the full image archive, scrub the timeline to any date, and download high-resolution stills at any time.

Images upload automatically when the camera has 4G connectivity, keeping the portal up to date. Public share links can be generated for investors, councils, or marketing teams without requiring login access. The portal is accessible from any device and is included at no additional cost with the monthly time-lapse package.

Fixed-Point Time-lapse

Supply and installation of a professional-grade 4K time-lapse camera at the Gillieston Heights Medical Centre site. The camera runs autonomously, capturing the structural progress of the build continuously throughout the engagement.

Connectivity: 4G-enabled for automatic daily upload to your branded client portal. KSC monitors signal strength, storage, and capture activity remotely on a daily basis.

Local card retrieval: KSC is Newcastle-based and can attend site in person to retrieve footage directly from the camera if needed due to cellular coverage issues.

Power: Mains-powered via on-site supply.

Schedule: Programmed to capture during active construction hours, ensuring the archive is a concentrated record of site progress rather than empty evenings and weekends.

Includes a finished time-lapse video delivered at project completion.

$1,000 + GST per month

Month-to-month. No lock-in beyond the current month.

Card Retrieval Only

Where site connectivity is limited or unavailable, KSC can attend site specifically to retrieve footage from the camera card and upload it manually, keeping the portal up to date.

This option can be scheduled as often or as infrequently as needed depending on how regularly Evoke Projects requires the portal to be updated. If 4G connectivity is unavailable at the site, card retrieval visits become the primary method of keeping footage current.

Each visit covers travel, retrieval, and manual upload. No drone or ground production is included at this rate.

$300 + GST per visit

Finished Project Film

Included with every KSC time-lapse engagement. At or near practical completion, KSC attends site to capture the finished build with drone and ground-based production. This footage is combined with the best material from across the engagement, including the time-lapse archive and any drone coverage captured during on-site visits, to produce a finished film of the project from start to finish.

The film is suitable for LinkedIn, project marketing, investor presentations, and community announcements. Music, graphics, and Evoke Projects branding can be incorporated.

Typical duration: 60 to 90 seconds.

Additional End-of-Project Elements

For clients who want to expand the final film beyond the core time-lapse and drone footage, additional elements can be scoped and quoted separately. Options include:

Interior walkthroughs of the completed facility, capturing the finished spaces, materials, and clinical environment using stabilised gimbal production.

Stakeholder or project team interviews capturing the story behind the build.

Location and context vision showcasing the surrounding area and community impact.

Additional drone cinematography of the completed facility.

Multiple edited cuts for different channels or audiences, including social media edits and longer-form versions.

These are quoted individually based on scope and are not required to receive the finished project film.

Milestone Progress Reels

If Evoke Projects has specific project milestones they want to mark with edited content (structural completion, fit-out commencement, topping out, or handover) KSC can produce short edited reels combining time-lapse, drone, and ground footage to coincide with those dates.

For fit-out stage milestones in particular, interior walkthrough footage can be incorporated to showcase the progress of the clinical and workplace spaces as they take shape.

These can incorporate ground-based stills captured during on-site visits. Priced per deliverable on request.
